Who we are and what we do:

We are Outform, we operate out of many global offices, Outform specifically has presence in the E.U. as well as in USA and China.

Outform exists to create reasons for people to visit stores again and again and we work with some of the world’s leading brands to define the Future of Retail. We are strategists, technologists, designers, engineers, makers and producers. We believe everyone can be creative and we all share the same spirit; date to innovate.

Privacy Policy

The Outform Group is committed to protecting your privacy. This privacy notice explains how we collect and use (process) your personal information, and your rights in relation to this data. We hold personal data concerning the information you provide us with, data we generate when using our website; making an enquiry; purchase a product and for ongoing product support.

Outform Ltd are the controller of personal information across EMEA and is subject to the Data Protection Act 2018 (DPA) and the UK General Data Protection Regulation (GDPR).

We may collect, use and disclose personal information within the Outform family of companies in order to facilitate business partnerships with your organisation. The Outform family consists of the following UK companies; Outform UK and Outform Technical Plastics. Additionally, the group includes the following companies outside of the UK; Outform Ltd (Israel), Outform Inc (USA), Outform Shenzhen & Outform Shanghai (China) and Outform BV (Amsterdam).

What information we hold

– The categories of personal information that we collect, and hold include:
– Client contact information (such as name, email address, phone number)
– Correspondence (such as emails and meeting notes);
– Company transactional and financial information (such as quotes, orders and invoices which may also include your personal information);
– If you visit our offices you may be asked to provide your name, email address, company and car registration when completing our visitors log;
– Additionally, we operate CCTV at our offices.

We use your information to:

– To respond to your enquiry;
– Pursue or fulfil a contract, agreement or partnership with your organisation;
– Explore future business opportunities with your organisation;
– To send you marketing communications where it is either in our legitimate interest to do so or you have agreed to receive marketing. We may also call you to discuss new products and services that we believe would be of interest to you;
– Comply with the law regarding data disclosure and sharing;
– To comply with health and safety legislation;
– For the prevention and detection of crime;
– Comply with our contractual and legal obligations.

The lawful basis for using this information

Under the GDPR, we are able to process information on certain legal bases. In the case of your information, we collect and use information under the following bases: fulfilment of contract, where it is in our legitimate interest to do so, where we have a legal obligation or you have consented to the processing.

Opting out from marketing

You can ask us to stop sending you marketing messages at any time by following the opt-out links on any markeing message sent to you or by contacting us any time.

Where you opt out of receiving these marketing messages, this will not impact on transactional (service) communications.

Collecting information

The majority of the information you provide to us is necessary for us to facilitate business partnerships with your company. If you are unable to supply such information this may mean that we are unable to enter into or continue a business relationship with you. We will only ever ask you for the minimum amount of personal data to fulfil the task in hand.

Data security

We have put in place appropriate security measures to prevent your personal data from being accidentally lost, used or accessed in an unauthorised way, altered or disclosed. In addition, we limit access to your personal data to those employees, agents, contractors and other third parties who have a business need to know. They will only process your personal data on our instructions and they are subject to a duty of confidentiality.

We have procedures in place to deal with any suspected personal data breach and will notify you and any applicable regulator of a breach where we are required to do so.

Storing information and data retention

We store information securely and in line with our Data Protection Policy and associated procedures. A copy of our Data Protection Policy can be obtained from the Data Protection Lead, whose contact details are listed below. We hold your information for the following timeframes:

– Contact information – up to six years after our last contact with you;
– Correspondence information – up to seven years after the correspondence took place;
– Corporate financial information – up to seven years after the date of issue.

Who we may disclose your information to

We will not disclose or share your information with anyone unless it is necessary and in line with the purpose for which it was collected. For example, where we need to provide a third party contractor with your contact information for them to arrange a site visit as part of fulfilling our contract with you. We may also disclose your information across the Outform family of companies and where we are required to do so by law, for example for the purpose of audit and taxation.

Requesting access to your personal data

– Under data protection legislation, you have the right to:
– Request access to the information we hold about you (Subject Access Request);
– Be informed of the identity of the controller, the reasons for processing your personal data and other relevant information necessary to ensure the fair and transparent processing of personal data;
– Object to processing of personal data that is likely to cause, or is causing, damage or distress;
– Prevent processing for the purpose of direct marketing;
– Object to decisions being taken by automated means;
– In certain circumstances, have inaccurate personal data rectified, blocked, erased or destroyed.
